Contacts vs. Email Sends

Some email marketing platforms price mainly based on contacts or subscribers, while others also factor in — or price entirely around — how many emails you actually send. Having 5,000 subscribers does not automatically mean 5,000 emails a month: with 4 campaigns a month, that same list generates 20,000 sends. Knowing your real send volume, not just your list size, helps you compare platform costs accurately.

What Is Email Send Volume?

Email send volume is the total number of individual emails you send over a given period, usually a month. It's a different number from your subscriber count — how often you email your list, and whether you run automated sequences, both change how many emails actually go out.

Anyone deciding between email platforms, comparing pricing plans, or trying to understand their sending limits benefits from knowing this number before signing up for a plan.

How to Calculate Email Sends

Monthly Campaign Sends = Subscribers × Campaigns × Emails Per Subscriber

If you also run automated emails, add: Subscribers × Automated Emails Per Subscriber Per Month. The two totals combine into your total monthly send volume.

Example

5,000 subscribers, sending 4 campaigns a month at 1 email per subscriber per campaign, generates 20,000 campaign emails a month — before accounting for any automated emails.

Why Email Send Volume Matters

Send volume can affect:

  • Which email platform plan fits your needs
  • Whether you'll hit a plan's sending limits
  • What your platform actually costs you
  • Infrastructure and deliverability requirements
  • How you plan future campaigns and automations

Contacts vs. Email Sends

Contacts (or subscribers) and email sends are not the same thing. Contacts is how many people are on your list; sends is how many emails you actually deliver over time. This distinction matters most when choosing an email platform: some price mainly by contacts, others weigh send volume too.

How Often Should You Send Marketing Emails?

There's no single frequency that works for every business. It depends on:

  • Audience expectations
  • Content value
  • Business model
  • Engagement levels
  • Your offer
  • Industry norms
  • Campaign type
